Requests for permission to attend these meetings must be sent to the Department Executive Administrator in writing 67 days in advance of the meeting's start date. The Executive Administrator will release the department's decision as to who can attend the sessions 62 days prior to the start date of the meeting.
To initiate this process please have a ticket submitted by yourself or your Office Assistant with the required details outlined below.
If you have a commitment (Session Speaker, Panel Member, Moderator, and/or Poster Session) at the conference, then please include a description of the activity and date(s) you are required to be in attendance to fulfill that commitment.
The following prioritization plan will be utilized for approval of requests:
Priority #1 – Session Speaker/Panel/Moderator – Did not attend ASTRO Annual Meeting in the previous year
Priority #2 – Session Speaker/Panel/Moderator – Attended ASTRO Annual Meeting in the previous year
Priority #3 – Poster Session – Did not attend ASTRO Annual Meeting in the previous year
Priority #4 – Poster Session – Attended ASTRO Annual Meeting in the previous year
Priority #5 – Did not attend ASTRO Annual Meeting in the previous year
Priority #6 – Attended ASTRO Annual Meeting in the previous year
Priority #7 – All others leave requests as possible
It is our goal to approve as many requests as possible. To that end, it may be necessary to limit travel days. To avoid incurring financial losses, do not make definitive travel plans until you’ve received final confirmation that your request has been approved. Also, please be advised that all other forms of time off will only be considered once the “ASTRO Faculty Schedule” has been finalized and we can assess our ability to cover clinical responsibilities.
